Job Title: Administrative Assistant
Location: St Cloud, FL
Pay: $17-$22/hour
Schedule: Monday – Friday, 8:00 AM – 4:00 PM
Position Overview:
We are seeking a detail-oriented and organized Administrative Assistant with experience in the construction industry. This position involves performing routine and complex clerical and administrative tasks, including processing daily reports, handling emails, and tracking various project charges. The Administrative Assistant will support the executive administrator and work under close supervision, following specified procedures and receiving detailed instructions.
Key Responsibilities:
- Open the office each day and ensure all operational needs are addressed.
- Proficient in MS Office (Excel and PowerPoint in particular) to complete daily reports and presentations.
- Enter and save daily reports received from the job superintendent.
- Research and book hotels for job-related travel; arrange dumpsters for job sites upon approval.
- Update and maintain spreadsheets tracking hotel and dumpster arrangements.
- Prepare shipping documents and email notifications to theaters regarding arrivals.
- Handle filing and mailing duties.
- Assist in creating PowerPoint presentations for various project topics.
- Support the bookkeeper by entering data into project software and preparing financial reports.
- Manage and track inventory for promotional items.
- Keep the office clean and well-maintained.
- Run errands, including picking up lunch and shopping for office supplies.
- Locate sub-contractors when necessary for various tasks.
Knowledge, Skills, and Abilities:
- General knowledge of office terminology, methods, practices, filing systems, and modern software.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint).
- Strong data entry skills and attention to detail when proofing text and numerical entries.
- Ability to multitask, prioritize, and manage workload effectively.
- Ability to complete tasks on time, follow-up, and take projects to completion.
- Excellent communication skills, both oral and written.
- Flexibility to handle interruptions while maintaining focus on tasks.
- Knowledge of the construction industry preferred.
Qualifications:
- High School diploma or equivalent (required).
- Previous administrative or clerical experience, ideally in the construction industry, is a plus.
- Must be able to work independently with minimal supervision and collaborate with a team.
